Avoiding customer collection issues
These days, it is even more important that you maintain a careful watch over your company's receivables and trends.
Following are signs that a customer may be in jeopardy, and thus affect your bottom line:
- Slow payment or a change in payment habits
- Broken promistesfor payments
- Un-returned messages
- Post-dated or bounced checks
- Re-financing or changing banks
- Unauthorized return of merchandise
- Selling at unusually low prices
- Big change in buying patterns
- Too rapid growth
Here are some ways that your TRAVERSE / OSAS business software can help:
- Set credit limits for each customer
- Set minimim inventory selling prices that are not overwritten at the counter
- Use the Aged Trial Balance report on a regular basis to track the aging of your customer's receivables
- Analyze the Cash Flow report
- Use Customer Comments to store collection notes so that all employees with access can share this information
- Watch the Customer History / Balance screen which shows each customer's average days to pay, high/low balances and payment history for the last twelve months
- Place delinquent customers on Credit Hold to avoid inadvertant sales to that customer
- Use the powerful InfoAlert application to automatically send printed, faxed or emailed receivables alerts to sales reps, your collections department and counter sales personnel
- Fax or email automatic dunning letters or past-due notices to customers.
- To get invoices to customers sooner, fax or email invoices directly to them the same day
Confirm you're covered for Leap Year
Since 2008 is a leap year, make sure that February 29th is included in the period setup information. If you do not have the defined, it may default to the wrong General Ledger period.
TRAVERSE - to verify the 2/29 date, go to System Manager, Company Setup and select Period Conversion. Make sure that your February period ends on 2/29/2008.
OSAS - to verify the 2/29 date, go to Resource Manager, Application Setup, select Period Setup and the year you are working in. The dates for each period should be displayed. Adjust the date if needed and <PageDown> to save any changes.
Keeping inventory stocked without overdoing it
Do you all too often discover you're out of stock on an item? This can be detrimental with higher costs, employee downtime and ultimately lost revenue. With a little setup in the Inventory's Item Location screen, your software has tools to help keep you in stock without the added cost of overstocking.
The Safety Stock is the minimum number of units to keep on hand at all times.
If you want your system to calculate reorders, in Item Locations enter the Order Point quantity for critical items. The Order point is an estimate of the quantity you use during the order processes plus the Safety Stock you maintain. This information is used on the Safety Stock Alert Report to provide the minimum number of units to keep on hand at all times.
Specify the Maximum quantity for that item to help maintain quantities at or below that level. The Overstock Report can then be run to determine items above this level.
The EQO (Economic Order Quantity) can be entered to signify at which quantity it is most economical to place an order.
Once your quantity levels are set, allow the system to calculate what should be ordered and when (as well as what not) to purchase based on stock levels.
